How to import any Sales order from WooCommerce to NetSuite?

Go to Settings → Order tab → Provide the WooCommerce Order id in the below box (by comma-separated in case of multiple orders) and click SAVE.

Go to the Dashboard tab to see the status of the flow

How to import Sales orders from a specific Date, Time, Cut off Order id from WooCommerce to NetSuite?

Go to Settings → Order tab → Select Order status, Date, Time, and Cut off Order id. (Click on ‘?’ to know the function of every box below).

For Cutoff Order id, for example, if you give the order id: 1729 then the flow will start importing the orders from order id: 1730

How to map the WooCommerce order number to PO # in NetSuite?

Go to order flow mappings and add the below mapping.

At the Wrapper side, add thenumberfield and at the NetSuite side, give the PO # (you can also give any other field if needed).

How to add additional Shipping methods in IO?

Go to Settings → Orders → Ship Methods tab

Add the WooCommerce Shipping method value from the order data field.

Select the corresponding NetSuite Shipping Method and Click SAVE.

How to manage when to auto-bill the sales orders in NetSuite?

Setting NetSuite side of things:

Go to the saved search: novamodule WooCommerce Auto-Billing Export

Edit it and go to the criteria. Select the Sales order statuses depending on when orders are billed in NetSuite per user NetSuite billing configuration. For example below, we selected PENDING BILLING to bill the sales orders after fulfillment is completed.

How to set up your NetSuite and IO when you have multiple WooCommerce Stores to identify Orders, Customers from each Store?

Setting NetSuite Side of things for Order flow:

Create new custom field to save woo instance (custbody_nm_woo_instance_name) in Customization—->Lists, Records, & Fields—->Transaction Body Fields

Under Applies to, check the “Sales” and “Item Fulfillment” checkboxes. Also under the display tab, select Nova WooCommerce value for the subtab field

Add the Store name field mapping by giving the Store name like below. Ex: FFG

Setting NetSuite side of things for Customer flow:

Create new custom field to save woo instance (custentity_nm_woo_instance) in Customization—->Lists, Records, & Fields—->Entity Fields.

Under Applies to, check the “Customer” and “Contact” checkboxes. Also under the display tab, select Nova WooCommerce value for the subtab field.

Add the below two mappings in the customer flow mapping. You can give your WooCommerce Store name in place of “FFG” below.

How to export cancellation of a sales order from NetSuite to WooCommerce?

Setting IO side of things:

Login to IO and go to Settings → Order flow → select order tab → Add the required status mappings in the lookup and save it.

Setting NetSuite side of things:

Log in to NetSuite and go to the saved search: novamodule WooCommerce Sales Orders Multiple Statuses Export Template.

Select the below order statuses in the criteria and click on Save & Run.

How can I schedule a flow to run automatically?

Login to IO and open the app

Go to the flow that you would like to schedule and turn on the flow

Go to the schedule and click on it

Go to the below page and select the required timezone, type, frequency, start time, end time, run days

In type: Use preset, the least you can run the flow is for every 15 minutes

In type: Use cron expression, the least you can run the flow is for every 5 minutes. Please follow the below steps.

How can I update a value from WooCommerce to NetSuite(or vice-versa) which has different field-types(WC – string, NS – number)?

Go to the flow and open the mappings and go to the field(example: Customer ID) that you would like to update

How can I update the date value in any custom field from WC to Ns ( WC – DD/MM/YY, NS – MM/DD/YYYY)?

Go to the flow and open the mappings and go to the date field and click on the settings

Select the required date format in the list below and save it

How to add a custom form mapping in IO for SO or Customer record in NetSuite?

Go to the Sales Order or Customer flow mappings and add a new field and type form and select FORM/CUSTOM FORM INTERNAL ID field

Click on settings and select hardcoded and select the required custom form and save it.

What is the least time interval to schedule a flow?

The least that we can schedule a flow is for every 5 minutes by selecting the type: cron expression. (see the Question 8)

Can we create an item from NetSuite to WooCommerce which is already present in WooCommerce trash?

No, the connector will update the item in the trash.

How do I setup a connection with WooCommerce which is in privacy mode?

– Click on configure and in the URL field, enter the URL of your WooCommerce website along with privacy credentials(refer Installation tab → Step 2 for further details).
– Test the connection and save it.
